The Project Manager role is critical to our consistently excellent delivery of complex services.

Elicit Project Managers are the quarterback of our projects. They must see the whole field, call the right plays, pass the ball at the right time to the right person, and sense and mitigate risks. We want to talk with you about joining our team if:

Project Managers will work closely with and take direction from Client Managers to collaboratively ensure client success. It is expected that much of the Project Managers’ work will be done from a home office, with some travel required in support of in-person collaboration with Elicit co-workers and on-site meetings at client offices. 

REQUIREMENTS
  • Bachelor’s degree – preferably in school of business
  • 5+ years of experience working with B2C business sectors, including retail, travel and hospitality, financial services, or healthcare (either directly or through an agency relationship) in roles where project management activities were critical to job success
    • At least 2 years of experience in a formal ‘Project Manager’ role for large projects involving 10+ team members, preferably involving analytics and marketing
  • Proven leadership in successfully managing complex projects
  • Experience managing 2+ clients (internal or external) at the same time, with distinct, large, and complex projects for each
  • Familiarity with project management and time tracking tools
  • Excellent organization, communication, and follow-up skills
  • Excellent verbal, written, and presentation skills
  • Fluency in Excel, Word, and PowerPoint
  • Ability to juggle multiple work streams and deadlines without compromising quality
  • Self-motivated and adaptable
RESPONSIBILITIES

PROJECT MANAGEMENT
Work collaboratively with client and internal team members to lead the following project management activities, which may apply to both internal and external projects:

  • Leverage project management best practices, and support the evolution of Elicit project management capabilities
  • Develop project charters
  • Create and manage project plans, including detailed timelines covering deliverable creation and internal review processes
  • Support Elicit and client team education about project scope and plans
  • Track all team activities across work streams
  • Identify new tasks and meetings needed
  • Support communication with internal and client teams about open items, due dates, and progress
  • Schedule, prepare for, facilitate, and follow up on project meetings – or ensure that another team member is on point to do so
    • Prepare agenda and other reference materials
    • Kick off and facilitate meetings; manage meeting time; recap action items before closing meeting
    • Consolidate, synthesize, and archive meeting notes
    • Send meeting recap to attendees, with focus on immediate action items
  • Support deliverable reviews to ensure deliverables address client business questions and match Elicit brand standards (including strong attention to detail and grammar)
  • Support frequent internal and client-facing project status and planning meetings, covering all open work streams, next steps, and upcoming plans
  • Prepare and distribute project status reports
  • Effectively communicate relevant project information to internal and client leadership on an ongoing basis
  • Ensure that project delivery matches contractual promises (deliverables, schedule, and budget) while proactively acknowledging the situation if client needs shift after contract execution
  • Minimize our exposure to risk, and identify and resolve and/or escalate issues and risks in a timely fashion
  • Proactively inform internal and client stakeholders of issues and risks and appropriately manage expectations
  • Track and report on deliverable hand-off, acceptance, and file locations
  • Manage budgets
    • Estimate, track, and proactively manage team member time allocation by work stream
    • Determine appropriate travel frequency, by team member, based on project needs and budget capacity
    • Manage fee and expense budget utilization on an ongoing basis, including management of team expectations for time allocation and travel
    • Monitor scope adjustments, manage scope creep, and execute Project Change Requests as needed

GENERAL ACCOUNT MANAGEMENT

  • Continually seek opportunities to increase client satisfaction and deepen client relationships
  • Draft agendas and materials for executive-level client meetings that may be unrelated to specific projects
  • Maintain account on-boarding materials
    • Ensure that Elicit team members are following client standards (e.g., dress code, brand standards, cultural workplace tendencies, behavioral standards)
    • Maintain and distribute reference/training documentation pertaining to client intranet navigation, printer access, meeting room scheduling process, etc.
    • Create and manage client contact data
  • Help Elicit project teams stay up to date on client business news, including things like organizational changes and notable PR
  • Maintain up-to-date, co-branded templates (PowerPoint and Word, including presentation, agenda, and meeting notes templates)
  • Support file management in online collaboration tools (e.g., Box) – i.e., folder structure, folder access, version control, old document clean-out
  • Schedule internal and client-facing project discussions and arrange meeting space and food orders
  • Facilitate arrangements for building access, workspace, network and systems access, and other administrative needs
  • Manage account-specific billing tags in Elicit time entry and expense management systems
  • Review and approve expense reports
  • Support invoice preparation, invoice submission, and accounts receivable monitoring

CLIENT RELATIONSHIP AND SALES SUPPORT

  • Support proposal and statement of work (SOW) development
    • Prepare for and facilitate internal proposal development workshops
    • Coordinate with team members to create estimates and support resource planning
    • Support proposal and SOW document creation and reviews
  • Support ‘voice of client’ processes designed to collect, acknowledge, and respond to client feedback in the interest of the best possible partnership
